Service Policy

Service: ‘Room Only’ evening accommodation with tea & coffee making facilities/stock + FREE guest parking, subject to availability, on a first come, first served basis.  Daily check-out applies: No access 10am-5pm (11am/4pm Sun). Consecutive nights; Removal of luggage not necessary, unless required.

Reservations: A reservation is made once written confirmation & reservation ID is issued. Full contact details are required & confirmation is sent via email. We cannot be held responsible for failed electronic delivery – if you've not received a reply within 2 working days, please contact us. We reserve the right to make changes to your reservation without notice. The possibility of amendments once a reservation is confirmed cannot be guaranteed. We will write to confirm any alternative arrangement(s). If confirmation is not received, please assume no alternative arrangements have been made.

Payment: Full payment on / before arrival via cash, credit / debit card, subject to terminal availability. Credit cards +3.1%. Business Reservations: BACS payment accepted no later than 7 days prior to reservation date. Group Bookings: (4+ people, per reservation) 10% non-refundable deposit required upon booking, card payment accepted via telephone. Remaining balance payable on or before arrival via cash, credit or debit card, subject to terminal availability. Credit cards +3.1%.

Check-in (arrivals)5pm-7pm, Mon-Sat & 4pm-6pm, Sun. Reservation / availability is guaranteed between usual check-in time / pre-arranged time (by appointment) only. Reception is manned solely for registration purposes. Earlier check-in may be possible by appointment, subject to availability, please enquire upon booking – limited access applies.

Departure Time10am Mon-Sat, 11am, Sun. All personal belongings must be removed. No storage facility available. Extension fee will be raised / debited for late departure.

Legal Requirement: All guests 16+ years must complete registration form on arrival. Failure to provide required (*) details will result in refusal (legal requirement).

No Smoking: It is illegal to smoke in &/or from within this establishment. Smokers must use designated outdoor smoking area & facilities. Non-compliance through any evidence; £50 charge will be raised / debited for professional cleaning of room/contents plus a charge equal to an additional nights’ stay to enable airing. Furthermore, we reserve the right to terminate your reservation with immediate effect, without obligation or warning. No refund will be issued.

Conduct: A ‘code of conduct’ is in place for the safety & comfort all guests. Non-compliance will result in termination of your reservation with immediate affect. No refund will be issued. We reserve the right to terminate & refuse a reservation if any party member’s behaviour is deemed unlawful, unreasonable or offensive. Please adhere to all safety notices.

Keys: 1 set released upon cleared payment & completion of guest registration form(s). Keys must be kept on your person for the duration of stay - access is not guaranteed at any time in the event keys are left behind/lost.

Accommodation & facilities: For use of paying guests during service hours only. We reserve the right to inspect rooms at any time, without notice. Evidence of unauthorized occupancy will be charged as per tariff. Rooms are let as bedrooms & may not be used for self-catering purposes. Use of items likely to pose a risk to others &/or cause damage to our property is strictly prohibited. Items described as 'included' / 'provided' are offered subject to availability, for use per night of stay only & must not be removed from the premises.

Security: Strictly no unauthorized photography on site.

Business Reservations: Business/organization is responsible for all charges that may arise from the reservation under our Terms & Conditions & Policies. By providing card details, you permit us to debit all charges that may arise relating to the reservation. Any invoice raised will be sent electronically, on request.

Children: You are responsible for your child’s behaviour. Children must be under parental supervision at all times.

Pets: Not accepted, except certified service dogs.

Cancellation: No cancellation fees apply for advance, informed cancellation up until 5pm Mon- Sat & 4pm on date of arrival (none-applicable to group bookings). Notice must be given in writing or by phone – a reference no. will be provided to confirm acceptance. Failure to arrive at check-in time / pre-arranged time will be deemed as automatic cancellation by you & full amount is payable. We reserve the right to re-let without notice & obligation if we are not informed of late arrival. Once reservation is confirmed, any changes requested by you are deemed a cancellation of the original reservation & as such, any payment made is forfeited. From registration, no refund will be issued for any reason e.g. temporary absence, illness etc. No exceptions. Additional days are not deemed cancellations but will be treated as a new reservation. If you are concerned of the possibility of cancellation, we recommend that you take out travel / cancellation insurance. We reserve the right to cancel reservations at any time, without notice. Should this be necessary through no fault of your own, we will endeavour to inform & seek alternative comparable accommodation however, if we’re unable to do so or you’re not satisfied with our findings, we are only liable for any monies you have paid to us at the time of cancellation. No other claims for compensation or expenses will be considered.

Damage: You are responsible for any damage / breakages caused to accommodation &/or contents. Please report as soon as they occur. We do not charge for minor breakages but may seek recompense for repair or making good if damage is significant. An additional admin fee of £20 will apply if you fail to report damage. You are solely responsible for all costs relating to lost / damaged keys.

Liability: We will not be held responsible for any loss or damage to valuables or personal property & any direct, indirect or consequential losses suffered by you, other than death or personal injury proven to have been caused by a negligent act or omission by ourselves, employees or agents acting in the course of employment. We will not be held liable for disruption, stoppage or loss to mains service likely to affect your stay or any circumstance beyond our control – under these circumstances, guests’ will be entitled to cancel any remaining nights without charge in return for a refund of any monies paid for remaining nights only. In rare cases, we may be forced to cancel your reservation. Reasonably, we will not be held liable for any error / misunderstanding on your part; once a booking has been made, the full amount is payable & no refund will be issued prior to or after registration. Your statutory rights remain unaffected.

Car Park & External Bike Storage: Free of charge for paying guests, per night of stay on a first come, first served basis, at guest’s own risk.

Privacy: We are fully compliant with the Data Protection Act. We may contact you about special offers which we think you may be interested in. Studio Lodge Guest Accommodation is a service provided by S&B Photography.

Complaints: Any complaint must be raised at the time of stay to allow opportunity to resolve prior to departure. In the unlikely event you remain unsatisfied; you must make a formal, written complaint within 7 days from the last night of your stay. Please include your full name, booking ID & reservation details.

Lost & Found: Please contact us if you believe you may have left something behind. Found items are recorded & stored for a limited time only. We’re unable to accept liability for the safety of items when left in our care. You are responsible for return costs (in advance). Proof of postage will be obtained & provided on request. Visit to collect any item must be arranged by advance appointment.

Access Statement

The following statement is a summary of our provision but if you have any specific questions please call us on (01584) 872442 & we will do our best to help.
Buses from the railway station, approx. 5 minutes away by car or 20 minutes on foot, run past the property every 15 minutes. The service ceases at 6.15 pm. Although the official bus stop is 100 yards past the guest house, on request the driver will normally drop you off (and pick up) right outside. There are several taxi firms in Ludlow, most of whom operate accessible taxis and MPVs. Business cards can be found on the first floor hallway. 

Arrival & parking facilities: There is a private, off road open parking area to the front of the property with marked parking bays. To the right hand side of the building (whilst facing property from the road) is a sheltered, level slab path leading to the entrance door. Lit at dusk. 

Main entrance & reception: The front door has one step 16cm high. The door is 88cm wide giving access to a hallway leading into reception (right). There are 16 stairs (straight) leading from the hallway to the first floor with hand rail on the left and a banister to the right. The stairs are 19cm high 31cm deep and 81cm wide.

Various leaflets on local activities, attractions, travel timetables, town maps are on display in the first floor hallway.

Health & Saftey: It is against the law to smoke from within this establishment & as such, we operate a strict no smoking policy. Smokers are very welcome but must use the designated, sheltered outdoor smoking area. Non-compliance penalties apply.

The building consists of first floor fire exit with smoke detectors, fire alarms & emergency lighting fitted throughout. Fire doors & emergency exits are sign posted & fire safety information found in all bedrooms.

Bedrooms: All bedrooms are located on the first floor. They are centrally heated by radiators fitted with individual thermostat controls and have digital televisions and tea making facilities / stock. Specific room dimensions are available by request. Rooms 1-3 are located to the front of the property & rooms 4-7 are located to the rear of the property.
